General Data Processing Approach

Data are processed and measures are produced three times per week.  Note that growth is the only exception.  See the Data Loading and Results Reporting Timeline below for the production of the CORE Growth Measure.  Here’s the schedule for non-growth measures:

“One on one” calls with CORE Staff

By August 6, 2017

Loading data necessary for preliminary 2017 growth results

  • 2016-17 CAASPP - we recognize that some districts may provide an updated version prior to final growth results - provided in official state fixed width format (.dat)

  • 2015-16 CAASPP - provided in official state fixed width format (.dat)

  • 2015-16 CELDT - post DRM version of the file

  • 2016-17 SENR (CALPADs)

  • 2016-17 SINF (CALPADs)

  • 2016-17 SELA (CALPADs)

  • 2016-17 SPRG (CALPADs)

  • 2016-17 FPRM [Homeless and Foster File - CALPADS ODS Student Report 1.18] - okay to utilize the census dated file

Preferably by August 21, 2017 (or earlier)

  • All files should be ready by August 1, though the amendment window runs through August 11 on CALPADs

Loading data necessary for other preliminary 2016-17 results

Full set of required data in the data dictionary.

2016-17 Files needed for metric results:

  • SINF (CALPADs)

  • SENR (CALPADs)

  • CRSC (CALPADs)

  • SCSC (SIS extract)

    • Rmdr: CALPADs extracts do not work

  • SDIS (CALPADs)

  • SELA (CALPADs)

  • FRPM (CALPADs)

  • CAASPP (unmodified state fixed .dat format)

  • CELDT (unmodified CELDT Student Score File Layout LEA Version; CSV preferred)

  • CATT

User access related files (optional)

  • CSEC

  • SASS

SCHL file needed only if there are updates

Tips and hints:

  • Path and file naming are amongst the most common errors

  • Manipulating and then renaming files in Excel also creates problems

  • A good quick way to check files on your end is to look at the number of records to see if it’s similar to prior years and in the neighborhood of the expected number of records for the file in question

Aiming for August 23, 2017 but no later than September 4, 2017

Preliminary growth results released

SY 2016-17 Results ready for release

While data collaborative participants may decide they prefer not to publicly release these results, we intend to be prepared to support public release of school and system level results at the end of October for those who are interested in that aspect of this work.  We can also “turn on” public reports at a later date.

CORE Data Leads will continue to meet on a bi-weekly basis

We would like to involve CORE Data Leads in these sessions.

TBD

In person: Ontario, CA

Teams of five* from each Partnering Education Agency (PEA) will attend an in person session facilitated by CORE and our partners.  The in person sessions will provide an opportunity for PEAs to learn from each other, to engage in inquiry together, to hear from experts in the use of these data, and to plan as a team for bringing these data to life in service of continuous improvement with their systems and schools.

The registration cost for PEA teams are included in the CORE Data Collaborative fees.  Participants are responsible for travel costs.

*We are exploring ways to expand the number of participants for PEAs that would like to bring more people.
